Project overview

A Zapier lead-processing canvas names Youform at intake and Apollo at enrichment, then distinguishes internal and client-facing actions across priority paths. Those service names are visible node labels; request configuration is not shown.

Business problem

Incoming leads may lack the context needed to prioritize them, notify the right people and decide which follow-up should happen next.

Automation solution

Connect webhook intake and formatting to an enrichment request, then use high- and low-priority paths for Sheets records, Slack or Gmail notifications and an AI-generated client email.

Lead-enrichment configuration. Youform and Apollo appear in node labels; their request settings and enrichment results are not shown. The High and Low paths have different actions.

Workflow architecture

Trigger & input

Webhooks by Zapier has the label “Lead Comes In (Youform)”. The sender is named in that label, but the webhook URL, payload, authentication and a real submission are not visible.

Processing & output

  1. Webhook intake labeled Lead Comes In (Youform) connects to Formatter by Zapier, whose action label is “Text”. The specific transformation is not exposed.
  2. A Webhooks by Zapier step labeled Leads Enrichment (Apollo) precedes Split into paths. The label names Apollo; the request endpoint and response are not exposed.
  3. High Priority Leads: Path conditions → Google Sheets Record High Priority Leads → Slack Notify Sales Team (High Priority) → AI by Zapier Generate Email → Gmail Send Email To Clients.
  4. Low Priority Leads: Path conditions → Gmail Notify Sales Team (Low Priority). No Sheets recording or client email is visible on this branch.

Conditional logic

High Priority Leads and Low Priority Leads have distinct path conditions. The screenshot shows the destinations of each branch, but not the priority score, criteria, fallback route or how missing enrichment data affects routing.

Key features

  • Webhook intake with a Youform label
  • Formatting before a labeled Apollo enrichment request
  • Separate high- and low-priority handling
  • High-priority Sheets record and Slack notification
  • AI-generated client-email path and low-priority Gmail notification

Technical challenges

The visible complexity is mapping external lead data into enrichment and then priority-specific actions. Missing fields, enrichment failures, scoring thresholds, duplicate leads and notification retries need configuration evidence. The screenshot supplies no documented failure-and-fix history.

Business value

Intended to give lead handling more context and route attention according to priority. No enrichment accuracy, sales outcome, delivery result or time savings is verified.

Testing & limitations

Configuration shown

The screenshot shows configured paths and app actions. It does not show a completed request, enrichment response, scored lead or email receipt, so execution and production behavior remain unverified.

Source: Kyle’s original workflow screenshot and project brief. The visible canvas has been reviewed; exported configuration, output contents and production run history have not been independently verified.

Limitations & next steps

What needs verification: resolve these open questions before treating this design as a verified implementation.

  • Youform payload and webhook authentication
  • Formatter transformation and Apollo endpoint/response mapping
  • High/Low priority conditions and missing-data handling
  • Duplicate controls, email prompt/approval and completed-run evidence
